👤 1. Create an Applicant Test User
Go to your GO Smart applicant portal (yourdomain.gosmart.org).
Click the Create New Account button.
Fill out the registration form and click Submit.
Go to the Grant Applications & Forms tab and locate the cycle you want to test.
📝 Notes:
If your site allows both Individuals and Organizations, you should create one test account for each type to make sure both versions of your grant work correctly.
If you forget your test login, click Forgot Username on the login page, or search for your test name in the admin tool under Applicant Search section.
🚪 2. Allow Access to Cycle
For your test user to see the grant, the dates must be "active," and the display must be turned on.
Log in as an admin at admin.gosmart.org.
Go to the Grant Editor tab and choose the Program Cycles subtab.
Select the Program and Cycle you are working on.
Click on Applicant Access & Dates.
Change the Display setting to Show.
Ensure the Open Applications date/time is in the past and the Deadline date/time is in the future.
🔐 3. Password Protect During Testing
Set an Invitation Code so the cycle is not visible to all applicants during testing.
Go to the Grant Editor tab and choose the Program Cycles subtab.
Select your Program and Cycle.
Click the Applicant Access & Dates tab.
Set Invite-Only to Yes.
Type a simple, memorable passcode in the newly available Invitational Code field.
Save Changes.
Go back to the window where you are logged in as the applicant.
Click the Grant Applications & Forms tab, then click Add invite-only password, and type in your code to see the grant.
⚠️Alerts:
Adding an invitational code is not retroactive. If an applicant has already accessed a cycle before it had a code, they will keep access.
Create the code before you set the Display dropdown to Show.
The code must be unique for each cycle.
If you do not see the password option, contact the GO Smart team to turn it on.
💡Tip: When you are ready for the public to apply, just change Invite-Only back to No, or keep it if you intend to give the code to all invited applicants.
